Team, roles and multi-site

The team is managed in Settings, Shop tab, Team panel. The administrator and managers can add accounts there.

3. 3Choose the Role. The administrator also chooses the Assigned site of a manager or a fitter.
4. 4Click Add.

GolfSpec does not send an email invitation: give the email address and password to the person yourself. They sign in with these credentials, then can choose their own password with Forgot? on the sign-in screen.

The password must be at least 12 characters long and mix at least 3 types of characters among lowercase, uppercase, digits and symbols (or be 16 characters or longer). A password found in known data breaches is refused. An email address can only be used for one GolfSpec account.

There are three roles: Admin, Manager and Fitter.

• Admin: the whole shop and every site. The only one who manages the subscription, sees the Integrations, Sites, Catalog, Clients and Data tabs in Settings, and sets up Online booking, the shop legal identity and VAT. Creates, edits and deletes accounts of every role.
• Manager: attached to a site. Issues invoices and credit notes; has access to the Value report; sets up and runs the workshop (quality control, cancellation, statistics). Adds fitters to their site, and edits or deletes the fitters of their site.
• Fitter: attached to a site. Works on fittings, clients, the calendar and messaging, and creates workshop tickets and after-sales requests. Does not issue invoices, does not set up the workshop and has no access to the Value report.

A fitter sees the team list but cannot change it. To change their password, they use Forgot? on the sign-in screen.

You cannot delete your own account or change your own role. There must always be at least one administrator. Deleting a member keeps their fittings.

The Basic plan includes 3 user accounts. The Pro and Full plans, like the free trial, have no limit.

On Basic, the Team panel shows the counter, for example “2 / 3 accounts”. Once the limit is reached, Add a member is disabled.

After moving to a lower plan, extra accounts are never deleted: they stay active, only adding is blocked. Delete an account to add another one. Even in read-only mode (trial ended, unpaid), you can delete the account of a former employee.

Sites let you manage several shops in one account. They are included in the Full plan, and available during the free trial.

3. 3Fill in Site name and, if needed, Address, Phone and Email.
4. 4Click Save.

The site created at sign-up has the Primary badge and cannot be deleted. To delete another site that holds fittings, appointments or users, choose the Destination site that takes them over, then click Reassign and delete.

As soon as there are at least two sites, the administrator chooses the site shown in the sidebar selector, on a computer: a specific site or All sites. Managers and fitters only see their own site, whose name is shown instead of the selector.

Each site has its own:

• fittings, calendar appointments and monthly goals;
• workshop tickets and after-sales requests;
• contact details: name, address, phone and email;
• fitting types, opening hours, PDF texts, order tracking and, if you wish, a separate invoice numbering.

Client records and the catalog are shared by all sites. Until a site has its own settings, it uses the shop settings: select the site, then change its settings in the Shop and Fitting tabs in Settings.

The Full plan includes one site. Each site beyond that is billed as an extra, per site, on the same cycle as your subscription (monthly or yearly).

When you add an additional site, a message shows its cost before you save. The site is billed pro rata from the day it is created. When you delete a site, the number of billed sites is updated.

During the free trial, up to 3 sites are included. Beyond that, an active subscription and an up-to-date payment are required. When you subscribe to the Full plan, existing sites beyond the first one are added to the subscription as additional sites.

To move to a plan without multi-site, first delete your additional sites.
