Client portal and messaging
The private link that gives clients access to their fitting, messaging with the shop, notifications and reviews: send, revoke, customize.
The client portal is a private page, specific to each fitting, that your client opens without a password. They find their recommendations, their quote, their documents and the status of their clubs, and they can write to you. The portal is included in every plan.
Send the portal link
- Open the fitting record.
- Tap Client portal (a link icon on a phone).
- If an email address is on the fitting, the link is sent by email right away. Otherwise, it is only generated.
- Use Copy link to send it yourself, or the Open the portal icon to see exactly what the client sees.
The email lists the recommended equipment, the measured gains if your plan includes swing data, and contains the access button. Each send creates a new link, valid for 90 days.
If the fitting’s session summary is still a draft, it is published on the portal when the link is sent. Review it before sending.
Passwordless access and revoking
The link is all it takes to open the portal: no account, no password. It works like a key, so only give it to the client.
If the link has expired or was revoked, the client sees a message and the “Access via my email” button. They enter their address and receive a sign-in link valid for 15 minutes, which opens the list of all their fittings with you and their workshop tickets. The address must be the one recorded on their fittings.
- On the fitting record, tap the Revoke sent links icon.
- Confirm with Revoke.
- All links already sent for this fitting stop working, and the client’s notifications on their devices are turned off.
- To restore access, send a new link with Client portal.
Revoke the links if a link was sent to the wrong person or if the client lost their phone. The client can always sign back in themselves with their email.
What the client sees
- At the top: the shop’s logo and name, the fitting date, then the number of items, delivery progress and the status (quote or sold) with the total including VAT.
- “Direct messaging”: access to the conversation with the shop.
- “Your session summary”: the session summary, once published.
- “Before / After”: the gains measured on the launch monitor, on plans that include swing data (Pro and Full).
- “Delivery tracking”: the status of each item, in preparation or delivered.
- “Your clubs in the workshop”: the progress of workshop tickets linked to the fitting (received, workshop, ready, picked up), without your internal notes or prices.
- “Recommended equipment”: each item with its photo, price and specs.
- “Summary”: total excluding VAT, VAT and total including VAT. Under the VAT exemption scheme, only the total is shown.
- “Documents”: the recommendations as a PDF, and the invoice if you issued one.
- “Demo Days”: your upcoming demo days, if you scheduled any.
- Your contact details: phone, email, address and website.
For demo days, create an event of type Demo day in the Calendar. On the portal, the client taps “Book”, picks a one-hour slot and confirms. The appointment is added to your calendar and an email goes to the shop’s address.
The portal offers no online payment: the client pays in store, as usual.
Messaging with your clients
Client side: the “Direct messaging” card on the portal, or the round button at the bottom right, opens the conversation. The client can attach photos (10 MB max) and documents (PDF, Word, Excel, PowerPoint, text, CSV, 20 MB max). The conversation is created with their first message.
Shop side: open Messages in the menu. Conversations are sorted into Active and Archived, with a search. Reply from the conversation, with the Attach a file and Reply templates icons (templates to prepare in Settings, Messaging tab). The Archive icon puts away a finished conversation; Restore brings it back.
To write first, tap New, choose the client, write the message, then Send. From a fitting record, the messaging panel also offers Start the conversation. There is a single conversation per client.
On the Full plan, turn on Enable AI drafts in the Messaging settings tab: an AI suggestion reply appears under the client’s latest message. Choose Send, Edit or Dismiss.
Notifications for the client and the team
Client: on their portal, the “Enable notifications” button lets them be notified on their phone or computer, if their browser supports it. It is shown as long as not all items are delivered and an email address is on the fitting. The client is then notified when an item arrives, when their workshop ticket moves to Ready for pickup and when you write to them.
For security, a notification never contains the access link: tapping it takes the client to the sign-in page, where they sign back in with their email.
Team: tap Enable in the app’s Enable notifications banner. You are then notified of new client messages (the notification opens the right conversation directly) and, depending on your role, of online bookings and of workshop tickets assigned to you or blocked.
On top of notifications, an email goes out for each new message: to the shop’s address when the client writes, to the client when you reply. At most one email every 15 minutes per conversation, to avoid bursts.
Satisfaction reviews
Once the fitting is delivered (automatically as soon as all its items are), the portal shows a “Your feedback” section with two buttons: “Rate the delivery” and “Rate your clubs”. The client gives a rating from 1 to 5 stars and answers a few questions.
Responses arrive in Statistics, Client reviews tab. If you entered a Google review link in the settings (Shop tab), clients who give 4 stars or more are invited to leave a Google review.
On the Full plan, both surveys are also sent automatically by email: the delivery one by the day after full delivery at the latest, the clubs one about 30 days later.
Customize the portal
In Settings, Shop tab, the uploaded Shop logo appears at the top of the portal, whatever your plan.
The Client portal color colors the portal and the emails sent to clients. It can be set from the Pro plan.
The portal is displayed in the shop’s language (French or English), set in the same place with Language.
