Create and run a fitting

Create a fitting, fill in the client and their profile, run the session, record measurements, and track the status and monthly quota.

A fitting holds everything about a session: the client, their profile, the measurements, the recommended clubs, the quote and the sale follow-up. It all happens in the Fittings menu.

Create a fitting

  1. Click New fitting, in the side menu or at the top of the Fittings page.
  2. Client step: type at least two characters in Search an existing client (name, email or phone), then pick the client from the list. Their contact details and profile fill in automatically. For a new client, fill in First name and Last name (required), then the email and phone if you have them.
  3. Click Continue →.
  4. Fitting step: choose the Fitting type (it sets the fee and the duration), the Fitter and the Date. Without a type, set the Duration.
  5. Add the handedness, 7-iron and driver speeds, index, home club, play frequency, Goals and Fitter notes if needed.
  6. Click Create the fitting: the fitting page opens.

The types on offer, with their price and duration, are set in Settings, Fitting tab, Fitting types panel.

If the client does not exist yet in Clients, their record is created automatically. GolfSpec matches them by email first, otherwise by first and last name.

The fitting page

At the top of the page: the client’s name, the date, the fitter and the duration, with the action buttons.

  • Session mode: the session full screen, step by step (see below).
  • Guided session: shown on the Pro and Full plans when the fitting type has a protocol. See Guided session and AI analysis.
  • Client portal: sends the client the link to their space. See Client portal.
  • Send to workshop: opens a new workshop ticket linked to the fitting. See Workshop and after-sales.
  • Download PDF: the recommendation document to give the client.
  • Edit: corrects the client, the fitting settings and the interview.
  • Item: adds a club or piece of equipment to the recommendations.

Below come the sale and delivery status, the Client profile, the Pre-fitting interview and the Fitter notes when filled in, the Performance data, the Recommended items with the total, the Invoice block, the Client sign-off signature and the messages with the client. The Pro and Full plans add the AI session analysis and the AI summary.

On a phone, the action buttons only show their icon.

Profile, measurements and notes

The Edit button opens three tabs: Client, Fitting and Interview.

  • Fitting: fitter, date, type, handedness, speeds, Static measurements (height, wrist-to-floor, arm length), fee and Quote validity.
  • If there is a fitting fee, tick Waive to waive it, or fill in the Discount: field to reduce it.
  • Interview: the current bag (Current equipment), miss tendency, ball flight, priorities, budget, physical constraints and your comments.
  • Physical constraints can only be entered once the client’s explicit consent box is ticked.

Height, wrist-to-floor and speeds feed the flex, length and lie suggestions shown when you add an item. They are static guidance, to be confirmed dynamically.

The Fitter notes are printed on the PDF given to the client: do not write anything they should not read.

Current clubs and tested clubs

On the Pro and Full plans, the Performance data section records the averages measured on the launch monitor, club by club. Each entry is either a Current club (the player’s own) or a Tested club.

  • Click Enter measurements (or Add measurements once data exists), or import the CSV file exported by your device.
  • As soon as two current clubs have a carry, the bag gapping appears below the measurements.
  • In session mode, the Comparison step puts the current club and the tested club side by side.

On the Basic plan this section is not available: describe the player’s bag in the interview (Current equipment). Supported formats and devices are covered in Measurements and launch monitor.

Session mode

Session mode runs the session full screen, in five steps: Interview, Measurements, Tests, Comparison and Recommendations. Move between them with the buttons at the bottom, then click Finish session.

  • Entries save on their own, at each step change and at regular intervals. Without a network, they are queued and sent once the connection is back.
  • A timer shows the time spent on the step and on the session. It is only a guide and never blocks anything.
  • The Tests step is reserved for the Pro and Full plans.
  • At the Recommendations step, build the selected clubs: they are added to the quote. See Catalogue and club builder.

In Settings, Fitting tab, the Fitting mode (guided session) panel offers two settings. Guided features the step-by-step club builder, with recommended values. Express features the full form for fast entry; the builder stays available.

Fitting status

Below the page header, two rows show where the fitting stands.

  • Sale: Quote or Sold, changed in one click. See Quote, sale and invoice.
  • Delivery: Not delivered, Partly delivered or Delivered. The status updates itself when you tick Delivered on each item (the box appears once the fitting is sold). You can also change it by hand.

In Fittings, the All, Quotes, Sold, In delivery and Delivered tabs filter the list.

An admin or a manager can delete a fitting with Delete, as long as no invoice has been issued. Deleting also removes its items and cannot be undone.

Monthly fitting quota

The number of fittings you can create each month depends on the plan:

  • Basic: 30 fittings per month.
  • Pro: 100 fittings per month.
  • Full: unlimited fittings, as during the free trial.

On limited plans, the counter shows under the New fitting title, for example “12 / 30 fittings this month”. Once the quota is reached, the page shows Monthly quota reached and creation is blocked until the 1st of the next month, when the counter resets.

The counter counts fittings created during the month: deleting a fitting does not free up a slot.
